Why Do Groups Need a Quote to Book?
Firstly, the quote is our magical way of knowing exactly what services you need, when you need them, and for how many happy campers. Think of it as our secret recipe for making your stay absolutely fantastic.
Secondly, while many campsites insist on a tedious booking form, we’ve decided to keep things breezy. A signed quote takes the place of that pesky form, making life easier for our fantastic camp organisers (that’s you!).
Lastly, the quote spells out exactly what you’ll be paying for your specific camp. No surprises, no hidden fees, just a clear picture of what’s in store. It’s all about keeping things transparent and straightforward, just the way we like it!
How Do I Get a Quote?
Once you’ve sent the form our way, we put on our speediest hiking boots and race to get that quote to you as soon as humanly possible. Easy peasy, lemon squeezy!
Understanding Camp Zenith Prices in Your Quote
To manage this, Camp Zenith uses a nifty Minimum/Maximum numbers system.
Here’s how it works:
Your quote will list a minimum number of campers, which is the baseline for the booking. We also reserve space for a maximum number, so your final count can fall anywhere between these two numbers. The final invoice is based on the actual number of campers, which should be a number between your minimum and maximum.
For example: If Mary expects 50 campers, she gets a quote for a minimum of 40 and a maximum of 60 campers. Ten days before the camp, she confirms she has 46 campers, so we invoice her for 46 campers, and she settles the invoice 7 days before camp. If a few last-minute campers decide to join, no worries! As long as Mary stays under her maximum number, they’re welcome, and any extras are added to her final invoice, which can be settled at Camp Zenith.
Some services, like kitchen hire, are charged to the group as a whole rather than per camper. These group charges are clearly outlined under “Services Charged to the Group.”
We also include a refundable breakage deposit of R500 with each quote. After camp, any breakages are deducted from this deposit, and the balance (if any) is refunded. Organisers will receive a Breakage Refund Form to provide bank details for the refund, which takes 2-3 working days to process. Easy as pie!
A few things to note:
No Limit on Quotes: We’re more than happy to whip up as many quotes as you need to tailor your camp just the way you like it. Need options? No problemo! Just give us a shout, and we’ll get those quotes flying your way.
Space Isn’t Reserved: While we love sending out quotes like there’s no tomorrow, it’s important to know that space isn’t held just because a quote is created. With the demand for our awesome campsites, we can’t hold all the spots until your camp is confirmed. So, if you’re keen to secure your slice of Camp Zenith, you gotta act fast!
Confirming Your Camp: Ready to seal the deal? To confirm your camp booking, simply send us back the signed quote along with proof of payment of the deposit. The balance is due 7 days before the start of camp. It’s as easy as singing Kumbaya around the campfire (well, almost)!
